Job Opening: Office Manager

The American Civil Liberties Union of Utah seeks to hire a full-time Officer Manger to provide support for our ongoing work to advance civil liberties and individual freedoms statewide. This position is based in Salt Lake City.

The Office Manager will report to the Executive Director and is an essential part of our team. The Office Manager’s major job responsibilities include providing organizational and office support, technology support, and administrative support to a staff of 13 individuals.  The Office Manager is also the first point of contact at the ACLU of Utah for visitors, guests, and members of the public. Some flexibility in hours is required to accommodate occasional evening or early-morning events.

Position Overview and Functions: 

The Office Manager will provide reliable and professional logistical, technological, and administrative support to staff, and will receive visitors.

Specifically, the Office Manager will: 

  • Receive and process general mail, email, and phone calls;
  • Manage office upkeep, supplies, and files;
  • Assist staff with scheduling and administrative support; 
  • Receive, welcome and assist visitors and guests to our office;
  • Manage all Information Technology systems and communications systems, including phones, copiers, printers, etc., with assistance from a technology consultant;
  • Assist with planning and hosting events;
  • Coordinate and support participation in community events as needed;
  • Coordinate, help train, and supervise volunteers and interns; 
  • Perform other related duties as assigned by the Executive Director.

QUALIFICATIONS:

Qualified candidates will have:

  • Friendly and flexible approach to customer service;
  • Excellent interpersonal skills, including the ability to communicate accurate information both in writing and verbally;
  • Experience providing administrative support, including basic technology support, in an office setting;
  • Ability to work independently and effectively in a fast-paced environment;
  • Strong organizational skills and ability to maintain orderly records; 
  • A commitment to diversity- a personal approach that values the individual and respects differences of race, ethnicity, age, sex, sexual orientation, gender identity and expression, religion, ability, involvement with the criminal justice system, and socio-economic circumstance;
  • Ability to accommodate an occasionally varied work schedule, including some early mornings, nights, and weekends.

Strongest candidates will also have:

  • Demonstrated proficiency in maintaining and problem solving Information Technology systems;
  • Proficiency in a language other than English; 
  • Understanding of Utah-specific civil liberties issues.

SALARY & BENEFITS:

The salary range for this position is $32,000- 37,000. Excellent benefits include paid time off, generous paid holidays, medical, dental, and vision insurance, 401(k) plan with organizational match, life and short-term and long-term disability insurance.
